Job Description:
A large Law Firm, is seeking a highly qualified, motivated human rights/pro-bona assistant to work in its Alexandra office, focusing on pro bono services to non-profit organisations, individuals & communities.
Duties & Responsibilities
Handling all types of queries and finding the appropriate solutions.
Liaising with NGOs, community structures and branches of government in Alexandra in relation to pro bono referrals.
Assisting with arrangements for legal education sessions, including managing invitations to clients and preparing the venues.
General secretarial duties: general typing, typing memos and letters, minute taking, filling, taking messages for the pro bono co-ordinator.
Responding to email queries.
Closing and archiving files, requesting archived files when necessary.
Constantly improving and finding ways to enhance the efficiency of the Alexandra office.
Opening, maintaining and administering client files.
Presenting a consistent professional approach in all interactions.
Administering, organising and maintaining all aspects of the office.
Administering the telephone management system, fax line, IT systems, liaising with facilities regarding maintenance issues, ensuring that the office is kept clean by the service provider, ensuring security systems are activated and repaired when necessary.
Acting as a client liaison – this includes receiving clients, explaining the way in which pro bono works, obtaining information from clients, relaying messages from clients to the pro bono co-ordinator and the relevant practitioner.
Assisting practitioners where necessary – this includes assisting them on their pro bono day where the pro bono co-ordinator is unavailable or busy, ensuring that a practitioner’s pro bono day runs smoothly.
Procuring documentation from clients and submitting to practitioners
Desired Experience & Qualification
Proficiency in Microsoft Word, Outlook , Excel and PowerPoint
Diploma
Tertiary qualification in paralegal studies - advantageous
2 – 3 years’ working experience in a legal environment / professional services firm or legal pro bono office.
