A facilities operations supervisor (FOS) is responsible for making sure that buildings and their services meet the needs of the occupants who work in them. FOS’s are accountable for soft and hard services to make sure the surrounding environment is in a suitable condition to work. FOS’s may work in one or many locations, and they are generally responsible for everything to do with the physical infrastructure of the business.
Duties & Responsibilities
Ensures the delivery of high value-added recommendations to the client
Compiles monthly management reports – property, facilities, technical and financial
Administration and Management of designated Portfolio professionally and effectively, and in accordance with policies and procedures in written reports.
Effective management and control of energy and general utilities in the respective portfolios
Daily walk about and recording daily items in terms of maintenance and safety.
Maintenance of building assets in accordance with each building asset’s official investment strategy and benchmarks, and maintain buildings efficiently and financially optimal in all respects
Management of all relevant service providers and Service Level Agreements and suppliers. Liaise with service providers and attend to weekly walkabouts with them inspecting the portfolio
Provide after-hours facilities / technical support / assistance on site or remotely as deemed appropriate by the head of Facilities Department.
Provide an effective and professional resource
Capturing access card distributions
Ensure that all visitors, service providers and campaigns comply with the house rules and trading hours.
Process and Risk
Plans, co-ordinates and controls all property-, technical-, and facilities management activities in their respective portfolio
Keeps abreast of new equipment, technology, materials and work methods together with techniques
To effectively manage stock control
To effectively manage quality control and timekeeping with the maintenance team
Effective management & control of risks in respect of machinery, plant, equipment, fire services and electrical reticulation, inclusive of but not limited to Lifts ,etc.
GENERATOR, monitor all levels ensure services, load testing and refuelling is conducted timeously and in advance. This is a critical business function and need to be monitored and managed closely.
Weekly inspections of water pumps, fire pump, cooling towers etc.
Control of risks as defined in the Occupational Health & Safety Act, by driving OHASA within their portfolio to maintain at least a 95% defendable compliance
Completing weekly OHASA reports to management etc.
OHASA report writing
Understand and manage all emergency procedures and policies. Ensure Evacuation Drills are done.
Respond to and oversee the initial response to any emergency situation in accordance with emergency procedures.
Comprehensively inspect and compile building inspection reports, compile, execute and maintain a Proactive Planned Maintenance Programme
Personally involved with the resolution of all complaints, furthermore ensure that these complaints are properly resolved within 24 hours, to the companies standard and feedback provided to line manager within this time frame.
Interact with campaign directors and service providers to ensure positive relationships are maintained.
Mentor and manage direct reports: Receptionists
Nurture talent within the direct reports community as well as extended reports by:
Cultivating a high-performance culture by caring, driving knowledge growth (education) and coaching
Stimulates and motivates
Develops and executes talent management & succession plans
Ensures direct reports community as well as extended reports follow relevant policies, compliance policies, legislation, regulation and client obligations
Oversee, inspect, manage, task, the maintenance team
Management of all maintenance / technical staff associated with the managed portfolio.
Ensure expenditure is within budget
Identify, promote and gain support for improvement opportunities that will increase revenue and or reduce operating costs
Ensures and manages the replacement of dated technology and asset management
Responsible for compiling the financial expense budgets for Repairs & Maintenance and Soft Services for their respective Portfolios
Professional, efficient and accurate formulation of the expense budgets, management and control of the expense budgets and expenditure in accordance with Policies and Procedures.
Motivate and follow-up for expenses and Purcahing Order numbers, Issuing of Purchase Orders, as well as approval of all invoices prior to payment.
The ability to demonstrate and prove financial savings within executing all tasks
Level of Authority
Management of tactical (3months – 6months) priorities within the team and actively contribute to and manages strategic enterprise wide initiatives (>6months)
The Facilities Ops Supervisor is part of a medium sized department with 4 direct reports
Skills and Competencies

The ability to coordinate, plan, time management working against tight deadlines
The ability to work under pressure and against tight deadlines with demanding clients
A service excellence attitude is a pre-requisite
Accurate record keeping and excellent admin / filing skills a great advantage
Desired Experience & Qualification
Matric (Grade 12) plus a Formal Qualification in Property Management or Facilities Management (tertiary qualification), with at least 5 years practical experience in a Facilities Management environment managing a team of at least 7 staff members
Full Function OHASA & Evacuation Management qualification / certification
Proven knowledge and experience in full function management with BMS Systems, Generators, HVAC systems, Fire Systems
Demonstrate the ability to work without supervision
Demonstrate Teamwork and Accountability
Demonstrate Computer literate – MS Office and CMMS software
Demonstrate Property, Facilities & Technical ability
Demonstrate management experience, managing a minimum team of 7 staff members
Demonstrate responsibility in terms of Corporate Citizenship & Carbon Credit Management
Demonstrate the ability to manage a budget and drive cost savings further
In possession of a legal driver’s license, with no endorsements an advantage
