Office Administrator - Health and Safety services
East Rand
Office Administrator - required for company based on the East Rand that specialises in Health and Safety services
Skills:
Matric minimum
Tertiary Qualification advantage.
Own Transport essential
Working knowledge of accounting programme - Pastel – Sage Evolution
Ability to multitask
Complete projects with limited supervision
Detail oriented and works with a high degree of accuracy
Excellent oral and written communication skills
General knowledge office computer package
Highly organized and flexible
Maintains high standards at all times
Meet changing deadlines
Must be self-directed - limited supervision required
Working knowledge of email
Working knowledge presentation software - power point
Working knowledge scheduling
Working knowledge spreadsheets
Functions and Responsibilities
Archiving all creditor invoices – per financial year
Archiving all debtor invoices – per financial year
Archiving all training certificates – per financial year
Assist where needed with training material changes or amendments
Attending calls – revert where needed
Canvassing for new business – all enquiries
Compile monthly creditor listing
Compile monthly debtor listing
Compile training schedules per client
Courtesy call current clients
Ensure delivery of certificates to clients
Ensure training certificates are signed off by relevant facilitator
Ensuring outlook contact listing is updated at all times with completed details
Follow up outstanding creditor accounts
Follow up outstanding debtor accounts
Full support structure to all staff
Generate monthly invoices to debtors
Generate monthly statements to debtors
Generate training certificates
Keep personal files up to date with general and specific documentation
Maintain account details on pastel – changes or updates
Maintain course code listing
Maintain payment allocation on pastel
Maintain training certificate number listing
Maintaining all general leave requirements (summary-requested-approved-allocated)
Maintaining daily operations at office via task manager
Maintaining general administrative suspension files
Maintaining general files and databases
Maintaining suspension project files
Prepare all training material requirements
Prepares various reports - correspondence
Quotation follow up
Quotation submissions
Schedules appointments and meetings
Track office supply inventory and order as needed
