Duties & Responsibilities•
Assistance in function organisation, travel arrangements and/or client arrangements.
Account management including but not limited to posting of fees, invoicing and collection of outstanding accounts, amendments, itemised billing, draft accounts, adjustments and final accounts, collating accounts and detailed reports to client, liaising with client regarding outstanding's, reporting on arrears past 30 days and age analysis.
Client on-boarding - obtaining required documentation from clients, submitting conflict checks on the on-boarding/conflicts system.
Matter management - opening new matters on accounting system, keeping client details up to date.
General administration – filing, e-mails, faxes, maintaining up to date records of various monthly budget reporting.
Capturing and recording timesheets on a daily basis.
Client interaction both verbally and written.
Telephone duties: effective screening and problem resolution.
Typing all correspondence, agreements and dictation.
Maintaining an efficient and effective departmental filing system.
Desired Experience & Qualification
Must have minimum of 3 years commercial secretarial and office administration experience.
Relevant Secretarial / Office Administration Diploma.
Proficient in MS Office 2007 / 2010 and Document Management Systems.
Excellent typing skills, speed and accuracy.
Proficient in legal accounting packages.
Able to work with a large team of professionals.
