Duties & Responsibilities
General office management, including the procurement of stationery and consumables
Travel and accommodation logistics; coordinate diaries and arrange appointments
Liaise with stakeholders, suppliers and colleagues
Track and process correspondence and documents
Assist in collecting content and information from stakeholders
Arrange internal and external meetings and events – schedule meetings; send invitations; coordinate responses to meetings and events
Draft agendas; take and distribute minutes; compile and prepare meeting packs
Research and evaluate venues in terms of suitability; book venues; set up and manage venues for events
Set up and manage technology required for physical and virtual meetings; arrange catering and serve refreshments
Provide assistance to the Director - diary management; meeting arrangements; prepare meeting documentation; assist with phone calls and email on behalf of the Director; respond and manage inquiries and requests
Ad hoc duties - assist in ad hoc duties as and when required
Desired Experience & Qualification
Relevant Diploma or Degree in Business Administration or a related field.
A minimum of 2 years proven administrative / business administration experience is required.
Highly proficient in Microsoft Office (Outlook, Word, Excel and PowerPoint) as well as proficient in Zoom or similar meeting software including Microsoft Teams and Smartsheet
Excellent telephone and email etiquette
Excellent record keeping and filing capabilities – physical and digital
Experienced in organising and planning events such as meetings and workshops
Excellent written and oral communication skills
Excellent command of the English language
Proficient in professional document formatting
Package & Remuneration
R20 000 - R24 000 p.m. depending on experience and qualifications
